Privacy Policy

This privacy policy (hereafter, the “Privacy Policy”) is provided by HIRESWEET (French société par actions simplifiée, registered at the Trade and Companies Register of Versailles under number 823037304, having its registered offices at 1, rue de Midori, 78350 - LES LOGES-EN-JOSAS, hereafter, “HireSweet”) as data controller regarding personal data collected while you consult/navigate on our website www.hiresweet.com (the “Website”).

HireSweet is particularly sensitive to the respectful processing of users’ personal data navigating on its Website with regard to EU Regulation EU 2016/679 regarding data protection and the consolidated version of the Loi n°78-17 dated January 6, 1978, relative à l’informatique, aux fichiers et aux libertés (collectively, applicable “Regulation”) under the following conditions.

Article 1 - Data collected and purposes

When you navigate on our Website, we may collect the following data:

  • Information regarding the device you use when you consult our Website through cookies (please refer to article 8 below);
  • Your email address when you get a demo, as well as your company name, company size, your ATS, your favorite language and information you choose to provide. HireSweet collects and processes this information to be able to contact you to provide you with a demo;
  • Your name, surname, postal and/or email address (if necessary, in case of doubt about your identity and for security reasons) when you exercise your rights (under conditions indicated in article 7);
  • When you request for a demo, we may offer to record the session subject to your consent. In this situation, we collect information about your voice, you image and our exchanges. These recordings are for Hireweet’s use only, as described below, to improve our marketing performances;
  • When you request for our “Case Studies”, you may provide you email address in order to upload them;
  • Any  information you choose to provide in the chatbot (provided by Hubspot).

Information required with an asterisk (*) are mandatory when you want to obtain a demo. If you choose not to provide this information you are duly informed that we may not be able to provide you with one. If you do not want to provide this information, you are duly informed that the demo request shall not be transferred to HireSweet.

Article 2 - Legal basis

The above listed information is collected on the following basis:

  • Your consent by clicking on the appropriate tab on the banner which appears while visiting the Website (please refer to article 8 of the Privacy Policy);
  • Your consent by clicking on the appropriate tab when you ask for a demo;
  • Your consent to collect and process your data when you exercise your rights (as described under article 7 of the Privacy Policy) and the fulfillment of HireSweet legal obligations to comply with your request.
  • Your consent by clicking on the appropriate tab when you accept to be recorded during the demo;
  • Your consent to obtain our Case Studies and, eventually, your consent to receive our future contents.

Article 3 - Hiring

When you click on the tab “We’re hiring !” in order to apply for a job at HireSweet, you may be redirected to our application management partner’s website, “Welcome to the jungle” (https://www.welcometothejungle.com/fr/companies/hiresweet).
In that case you may be required to communicate some information to Welcome to the jungle, which they will subsequently transfer to us, such as:

  • Your ID Welcome to the jungle
  • Your name, surname,
  • Email address, phone number,
  • LinkedIn profile link;
  • Your CV and
  • Any information you choose to share in order to allow us to consider your application.

We may also contact you if we consider that your profile could fit with one of our job opportunity through digital tools such as HireSweet CRM or LinkedIn.

This data collection is carried out on the basis of our legitimate interest in searching for relevant profiles and selecting candidates (sorting, recording, ranking of CVs), as well as on the basis of taking pre-contractual measures at your request (considering your application).

The recipients of this information are the human resources department and the team the job offer is linked to. Welcome to the jungle is also a recipient of data in order to process your application. When you decide to connect your LinkedIn profile to the Welcome to the Jungle platform, Welcome to the jungle shall ask for your express consent for using you name and photo, as well as your principal email address linked to your LinkedIn profile. You can also configurate this synchronization at the following link: https://www.linkedin.com/psettings/permitted-services. How Welcome to the jungle processes you data is set out in their privacy policy available at this link: https://www.welcometothejungle.com/en/pages/privacy-policy) that you shall consult and accept if requested.

Article 4 – Recipients of your data

Recipients of your data are:

  • The relevant HireSweet internal departments (commercial, ops and legal);

    The demo videos are for HireSweet's internal use only, in order to improve our marketing performances.

HireSweet informs you that, in connection with its requests for demos and registration of demos, if any, your data may be transferred outside the European Economic Area (the "EEA") to the United States via our subprocessors Hubspot and Google (for demos and cookies). HireSweet informs you that it has conducted due diligence on transfers outside of the EEA and on the safeguards provided by these subprocessors. These transfers are made on the basis of Hubspot's and Google's standard contractual clauses available on their website.

Article 5 - Retention of your data

We store your data collected through our Website for a duration that does not exceed the time required for the purposes described in this Privacy Policy, or for the time required to conform to our legal obligations: 

  • Data collected when you navigate on the Website (cookies): this information is deleted thirteen (13) months (maximum) in the form of a cookie in your browser. Please refer to article 8 and our Cookie Policy for more information;
  • Data collected when you request a demo: this information is deleted thirty (30) days (maximum) following your demo request;
  • Data collected when you apply for a job at HireSweet: subject to your consent, two (2) years following our last contact;
  • Data collected when you exercise your rights: data is deleted one (1) year after you exercised your access or corrected/updated your data (from the moment you send your request) and three (3) years following you exercised your right to oppose the use of your data (from the moment you send your request).
  • Data collected when you provide your information in order to obtain our Case Studies: one (1) month;
  • Data collected when you consent to receive our future contents: until you unsubscribe (through the link in the emails we sent you).

Article 6 - HireSweet’s obligations

As data controller, HireSweet commits to: 

  • implement all appropriate technical and organisational measures to ensure the security of the processing carried out, guarantee the protection of your rights and meet the requirements of the Regulation;
  • restrict access to your data to persons duly authorised for this purpose;
  • have made its staff aware of and trained them in the processing of data, the provisions of the Regulation in force, and its consequences;
  • never transfer your data in any way whatsoever to a third party without having duly informed you in advance;
  • guarantee all your rights of information, access, portability, deletion, rectification, opposition, limitation to your data collected under the conditions defined in article 7 of the Privacy Policy;
  • notify the competent supervisory authority (the Commission Nationale de l'Informatique et des Libertés or CNIL) and yourself, if applicable, of any security breach presenting a high risk to your rights and freedoms within seventy-two (72) hours of the discovery of the breach, if required by the Regulations;
  • proceed with the deletion of your data within the time limits indicated in article 5 hereof. 

Article 7 - Your rights on your data

You are informed that you have important rights regarding your data as following:

  • Right to get the information;
  • Right to access;
  • Right to correct/update;
  • Right to request the deletion;
  • Right to limit the use of;
  • Right to object,
  • Right to port,

On your personal data.

HireSweet may request complementary information such as any proof of your identity in order to prevent the risk of identity theft. HireSweet will respond to you within one (1) month from the moment you send your request (unless the application is particularly complex).

Article 9 - Update to this Privacy Policy

This Privacy Policy may be updated from time to time. Any reduction of your rights under this Privacy Policy will not be enforced without your express consent. If HireSweet is acquired by or merges with another company, we will ensure the confidentiality of your personal data and inform you before it is transferred or subject to new privacy rules.
